Office Manager   $100,000 USD/year

Description

You’re not here to keep the lights on. You’re here to make sure they never flicker.

This isn’t a cushy desk job where you order pens and book conference rooms. This is the operational backbone of a company building at warp speed. Trilogy is an AI-first tech company pushing boundaries across industries — and we move fast. Your job is to make sure nothing slows us down. From resolving infrastructure hiccups before anyone notices to pulling off events that feel effortless to managing vendors like a backstage boss, you’ll be the reason everything runs smoothly.

This is the role for someone who thrives in chaos and finds satisfaction in bringing order to it. You’ll be embedded in a high-intensity environment where expectations are high, time is tight, and nothing is “not my job.” If you’ve ever been the person who quietly makes everything work — from Wi-Fi outages to last-minute venue changes — and loved it, this is your moment.

At Trilogy, we don’t do “good enough.” We build boldly, and we deliver at speed. Your work makes that possible. Ready to be essential?

What you will be doing

  • Managing office infrastructure end-to-end, including vendor relationships, service contracts, and on-the-fly problem-solving
  • Coordinating high-impact internal and external events — from team trips to industry-facing activations like SXSW
  • Proactively maintaining supplies, facilities, and services so disruptions never hit anyone’s radar
  • Handling operational requests from executives and employees with speed, discretion, and professionalism
  • Tracking expenses, timelines, and task status in Google Sheets — no Post-its, no guesswork

What you will NOT be doing

  • Playing receptionist or front-desk greeter — this is strategic, high-leverage work
  • Waiting for instructions or needing micromanagement — you see the problem before anyone else does
  • Dealing with rigid, bureaucratic environments — this company moves, and so do you

Key responsibilities

Keep Trilogy’s physical operations frictionless so the company can scale fast without slowing down.

Candidate requirements

  • Willing to work in-person at our downtown Austin office
  • Prior experience as an office manager, executive assistant, or operations lead in a fast-paced, high-pressure environment
  • Proven ability to stay calm, organized, and effective under pressure — even when plans change or things go sideways
  • Strong communication skills and executive presence — able to interact confidently with everyone from interns to founders
  • Comfortable building and maintaining Google Sheets to track vendors, budgets, timelines, and tasks
  • Must be organized, systematic, and data-driven (no sticky notes or memory-based tracking)
  • Proactive mindset with a reputation for always having a plan B (and C)
  • Legally authorized to work in the US without visa sponsorship
